The Rice Classifieds website is design to promote the transfer, purchase, or disposal of items owned by the University. This system should be a dramatic improvement over the previous Greensheet process. It encourages and empowers the disposition of items at the individual departmental level.

The item is scheduled to be transferred, sold, or disposed.

  1. The item will need to have prior approval by department head before posting on the Rice Classifieds system.

  2. If the item was purchased on research funds, the listing department and Research Accounting will both confirm that the item is available for transfer, sale, or disposal.

  3. If the item is a previously-used piece of lab equipment (including, but not limited to, research equipment, glassware, measurement tools, refrigerators, etc), then the Office of Environmental Health and Safety will need to confirm the appropriate method of transfer, sale, or disposal.

  4. The selling department posts the item for 2 weeks to the Rice Community (On-Campus Listing). This is for a sale/transfer of item between Rice University Departments (interdepartmental transfers, IDTs).
    • The selling department receives IDT bids for the item during the first 2 weeks.
    • During these 2 weeks, the selling department can choose to accept or decline any offer for the listed item. **
    • At the end of the 2 week period the item listing is moved to the Off-Campus Listing.

      Note:Technology items normally supported by Rice IT are moved directly to Off-Campus listings. Rice IT will not support technology items purchased through the Rice Classifieds website.


  5. The department posts the item for 2 weeks to the Off-Campus Rice Community disposition category. This is sale for non-Rice use.
    • The selling department receives bids for the item during the 2 weeks.
    • During this time, the item can still be listed for interdepartmental transfers as well.
    • During these 2 weeks, the selling department can choose to accept or decline any offer for the listed item.
    • At the end of the 2 week period the item can be disposed of in any manner the department sees fit, including trash.

      Note: Rice IT will not support technology items purchased through the Rice Classifieds website.

If an offer made by a department is accepted on the item:

  1. Listing/selling department fills out an IDT with proper funds, orgs and accounts of both departments.
  2. IDT is sent to the purchaser for signature.
  3. After signing, purchasing department makes a copy for the listing department and sends the completed IDT to the Controller at MS 70.
  4. Item is transferred to the purchasing department.

If an offer made by an individual for non-Rice use is accepted on the item:

  1. Listing/selling department will provide the Purchaser with an invoice with all pertinent item identification and account codes.
  2. Purchaser remits funds to Rice University cashier.
  3. Rice University cashier transfer of funds to the appropriate Rice account and provides Purchaser with stamped receipt.
  4. Receipt is shown to Listing/selling department and item is transferred to new owner.

If an offer is accepted on the item,

  1. Listing/selling department will provide the Purchaser with an invoice with all pertinent item identification and account codes.
  2. Purchaser transmits funds to Rice University cashier.
  3. Rice University cashier transfer of funds to the appropriate Rice account and provides Purchaser with stamped receipt.
  4. Receipt is shown to Listing/selling department and item is transferred to new owner.

If no offer is accepted on the item after the appropriate listing period(s), then the item is available for disposal via a campus-approved channel.
